Key Considerations for Formatting Group Emails

The Source Matters

Where and how the email was originally created affects how it will appear when sent.

  • Microsoft Products (Word, Outlook, etc.) use proprietary formatting codes for elements like font styling, colors, and spacing. These codes work well within Microsoft products but may not translate correctly in non-Microsoft email clients (e.g., Gmail, Yahoo).

  • If content is copied from Word or Outlook into the FellowshipOne Email Editor, hidden formatting codes may cause display issues in non-Microsoft email providers.

  • Best Practice: Type or format emails directly in the FellowshipOne Email Editor to avoid formatting inconsistencies.

Keep Emails Lightweight

Emails are designed to be a lightweight communication medium, unlike web pages that rely on heavy formatting, graphics, and CSS.

  • Email providers (e.g., Gmail, Yahoo) often block large, heavily formatted emails to reduce storage burden and prevent spam.

  • Instead of embedding heavy content, include links to a website where recipients can view more detailed or visually appealing content.

 Formatting Best Practices

  • Use basic formatting to keep emails professional and easy to read.

  • Avoid complex CSS styling—most email clients do not fully support CSS, leading to display issues.

  • Use the Group Email editor’s built-in link button to add hyperlinks correctly, ensuring they appear properly across all email clients.

Understanding HTML in Emails

  • All emails are formatted using HTML, even if you don’t see the underlying code.

  • In the FellowshipOne Email Editor:

    • Pressing Enter inserts a paragraph tag (two line breaks).

    • Pressing Shift+Enter inserts a single line break.

Following these best practices will help ensure that Group Emails are readable, professional, and compatible with all email clients.
