Generating Statements Using Statement Builder

The FellowshipOne Statement Builder generates customized giving statements based on selected filters. In order to generate statements quickly, statements are run from a dedicated server that is updated overnight. Statements therefore reflect yesterday's data & any changes made today will not show in statements until tomorrow.

To submit a new statement request:

  1. Go to Giving>Statements>Statement Builder
  2. Choose to either Create New statement (enter new name) or use a previously saved statement
  3. Set Statement Date Range
  • Detail Dates - date, amount, & other information will show for each contribution in this date range
  • Summary Dates - contributions in this date range will be summarized as a total amount at the bottom of the statement
  1. Set Filters
  • Do Not Limit - default selection, filters are ignored
  • Postal Code Range - limits output based on individual's Primary Address Postal Code
  • By Household/Org - limits output to a specific Household or Organization
  • By Group - limits output to individuals in a People List or Group
  • Amount - limits output to only include contributions that are equal to or greater than amount entered
  • Funds - limit to only contributions attributed to specified funds
  • Subfunds - limit to only contributions attributed to specified subfunds
  • Status - limits output to individuals/households with specified status
  • Attributes - limits output to only individuals/household with specified Attributes
  • Positions - limits output to only contributions attributed to specified household positions

 

  1. Request Confirmation -  email notification will be sent when statements are completed & ready to be down loaded. More than one email address can be entered using a semi-colon to separate them
  2. Output - select one or more of the following:
  • Households - check box to include contributions attributed to the Household
    • Rollup individual contributions to household - check box to generate one statement for the whole household. All individual contributions will be combined with any household contributions
  • Individuals - check box to generate statements that only include contributions attributed to individuals
  • Organizations - check box to generate statements for organizations with contributions in date range
  • Show Non-Cash Contributions - non-cash contributions will show their Stated Value in a separate field on the statement along with information entered in the memo field for that contribution.
  • Show Pledge Drive Summaries - displays pledge drive information (amount pledged/given, name of drive). Calculation method is based on Pledge Drive's date range
    • All Time (Pledge Start to Finish) - shows all contributions to Pledge Drive(s) regardless of date ranges set in Statement Date Range section
    • Summary Date Range - shows contributions to Pledge Drive(s) within Summary date range set in Statement Date Range section
  • Comment Fields
    • Comment fields can be utilized to customize a message as well as include legal wording such as "No goods or services were received in return for gifts" or a short message.

  • Output Format
    • PDF - standard format
    • XML - can be opened in MS Excel to mail merge with contribution template letters create in MS Word
  • Statement Style - select either a default, or use a Custom Statement Style
  • Sort Statements by - sort statements either by Last Name/First Name or by postal code
  • Include Postal Code Report - check box to generate report similar to G1000Z listing all postal codes in statements
  • Include Contributor Export - check box to include an XML file in output with address information for each statement to open in MS Excel for use with MS Word's Mail Merge tool to create labels or envelopes
  1. Save Changes to Existing Definition - check box to either create new saved statement, or to save changes made to existing statement
  2. Submit statement request - this will send statement request to the Statement Queue
